BOARD MEETINGS UPDATE

The Board approved the 2021 proposed budget. It is enclosed and reflects NO INCREASE for maintenance fees next year.

FINANCIAL UPDATE

Maintenance fees are due on the 1st of the month. A $25 late fee is applied if your payment is received after the fifteenth (15th) of the month. A $25 late fee will be applied
on any unpaid balance.

REMINDER! We strongly encourage everyone to begin making payments via one of our electronic payment options. These options are secure, simple, and easy. With the current
pandemic (Coronavirus/COVID-19) we have experienced some delays in receiving payments by the US Postal Service. Here are the payment options:

ACH Payments: Sign up for Direct Debit. Your monthly maintenance fee will be automatically debited from your checking account between the 5th and 8th of each month.
Please go to www.pilera.com for an ACH form or contact the Management office. This option is free.

Online Payments with E-Check or Credit Card: Set up a one-time or reoccurring E- Check payment. Paying by electronic check is free. There is an option of paying by
Credit Card also, but there is a 3% convenience fee. These options are available on our secure website: www.qualitycommunitymgmt.com or Fairfax Manor’s web
portal as a payment option via www.pilera.com

Association fees are always payable to: FAIRFAX MANOR Your individual seven (7) digit account number must appear on your payment so it is processed in a timely manner.

REMINDER

  • Due to the current COVID-19 pandemic, the Management office is closed to the public/visitors. Please give us a call during normal business hours if you have

  • Pets must be on a hand-held leash at all times when outside of your unit. This is for the health and safety of all residents/guests. Immediate and complete clean up after a pet is required. The unit owner of any resident or guest observed not cleaning up after their pet may be fined up to $50 per violation.

 

PROPERTY UPDATE

  • Reynolds Landscaping completed the approved tree trimming and tree removal work around the property.
  • Colony Roofing was approved to power wash the Clubhouse Mansard roof.
  • Ianiro Landscape, Inc. has been contracted for the snow plowing and sidewalk cleaning for the 2020-2021 season. *REMINDER* Per the Rules and Regulations, if your
    vehicle is in the parking area during snowfall, it must be moved during the day when the snow accumulation reaches two (2) inches. In order for it to be properly
    plowed and cleared of snow, please utilize your carport for your vehicle.
  • Bids are being obtained to replace the building doors for buildings: D, K, and O.
  • We are investigating key card access for the laundry machines instead of coin usage. More information to follow in coming months.
  • Also, we are working on color schemes and new paint and floor coverings for the A,C,G and H buildings. More information to follow.
  • The D building will have a new hot water tank installed by 72 Degrees on Wednesday, November 13th and Thursday, November 14th. Please note: There will be no hot water on November 13th

Building Association Insurance coverage is provided by Nationwide. The Merhar Agency is reachable at 440-946-2040. As a reminder, owners and renters are required to have their own contents and interior coverage.

THE ANNUAL MEETING

Will be held on Monday, November 11th 2019 at 7:00 p.m. in the Clubhouse. Registration begins at 6:30 p.m. In order to ensure quorum for the meeting, please complete and return the 5-year proxy. A 2nd Notice with the proxy is included with this Newsletter. Please read and complete it, even if you plan on attending the meeting. *RAFFLE* Want to win a $25 gift card? Of course, you do! Two (2) $25 gift cards will be raffled off at the Annual Meeting. You must be present to win!

Get involved in your community! Please consider volunteering for the Board. There will be two (2) positions on the Board that are up for election at the meeting. These positions are to be filled. If you are interested in serving on the Board, please call QCM or email qcmmary@att.net

ATTENTION PET OWNERS!

Especially this time of year, skunks are around. If your pet gets sprayed, here is a basic recipe for a neutralizer you can use:
– 1 quart 3% Hydrogen Peroxide
– 1/4 cup Baking Soda
– 1 teaspoon Dawn Dish Detergent OR Castile Soap

Mix above ingredients well. Apply to animal and leave on for 5-10 minutes (keep away from eyes). Rinse well and dry. The smell may still be there when their fur gets damp again, for 1-2 months.

January 2019 Meeting Summary

  • There will be a new cleaning service – CoverAll effective the week of February 4th.  Owners are encouraged to report light numbers that are out to QCM for timely replacement of bulbs.
  • A pink child’s eye glass case was found near the J and K buildings hanging from the fire hydrant.  If you want to claim it, please call QCM.
  • Durchik Turf Mgmt was approved for 2019 lawn fertilization, lawn weeds and grub prevention season.
  • Reminder: Leave trickle of water in kitchen sink & open cabinet doors to prevent frozen pipes.

December 2018 Board Meeting Notes

A board meeting was held on Monday December 10th.  The following decisions were made:

  • CoinMach vending price for the common area laundry rooms is now $1.50 per load, up from the previous cost of $1.25 per load.
  • The board approved a review of the 2018 financials by the CPA.

As a reminder the board meetings are held the 2nd monday of the month and are open to all unit owners/occupants.

Fairfax Manor – Important Water off Notice

Dear Fairfax Residents: This is to advise you that on Thursday, April 26, 2018 the water to Fairfax Manor will be turned off for ALL BUILDINGS in order to repair a fire hydrant at the O building. The water will be turned off at approximately 9:00 a.m. and will be off for approximately 3 hours. Your anticipated understanding of this temporary inconvenience is appreciated. Thank You, Quality Community Management.

New Plumbing Repair Procedure

The owner of a unit requiring plumbing repairs for A, C, G & H buildings must pick up a key at the management office. A $50.00 cash only deposit is required. The deposit will be refunded to the owner upon receipt of the key.

  • A copy of the Plumbers license and proof of insurance must be provided before any common area plumbing affected can be turned
    off.
  • The unit owner must be present during the plumbing repair.
  • The unit owner must provide 24-hour advance notice prior to water turn off.
  • Please be considerate and schedule repairs weekdays, after 9:00 a.m. and before 5:00 p.m.
  • Please contact Quality Community Management for emergencies. 440-725-4715 (“Emergency is defined as a situation affecting the safety of an occupant or threatening damage to Common Elements”)

 

Newsletter – 1st Quarter 2018

BOARD MEETINGS UPDATE
Meetings are usually held on the second Monday of every month. The next regularly scheduled Board meeting will be held at 7:00 p.m. in the Clubhouse on Monday, March 12th and Monday, April 9th.

Five (5) Board members are required per the associations’ governing documents. Be a part of the decision-making process for
Fairfax Manor and consider serving on the Board to fill a vacated position/term that expires in November 2018. The Board
meets only once a month, every 2nd Monday, -right in the clubhouse – how convenient!! Please remember, currently you must be an onsite owner to be a Board member. We are still looking for a 5th board member, so please stop in and say Hi!

PROPERTY UPDATE
The governing documents have been reviewed by the Board and were mailed out with the newsletter. The proposed amendments for 7 various items are being considered. Please read, complete and return the amendment ballot in the envelope provided as soon as possible.

The Rules and Regulations will be revised upon approval of the enclosed amendments.

Ianiro Landscaping will be onsite again this year for landscaping maintenance April 1st through November 30th.

Durchik Turf Management Systems has been approved for fertilization/grub/weed control for 2018.

Colony Roofing has been approved to replace the roofs, gutters, downspouts & soffits to the I & J buildings. Owners/Residents will be notified on the schedule as weather permits.

PREVENTING AND TREATING FROZEN PIPES
Open cabinets indoors to allow heat to reach pipes underneath sinks.

If you will be away from home, keep the thermostat set to no lower than 55 F (12 C). Have a neighbor check on the house
periodically to make sure no pipes are freezing.

Keep water trickling out of a faucet when temperatures are very cold. This will relieve pressure inside of the pipe and could prevent bursting if an ice blockage occurs.

If you suspect a pipe has frozen, warm air from a hair dryer can help thaw it out. Never try to thaw a pipe with an open flame.

OTHER NEWS
The speed limit is 10 mph. Please slow down.

Please dispose of cigarette butts in the containers located outside the A, C, G & H buildings.

Windows left open cost the association (and ultimately owners) money. If your unit is too warm during the winter months, please close vents and turn the thermostat down instead of letting the gas heat go right “out the window”.

Carports are to be used as the primary parking space.

All vehicles on the Condominium Property must bear current license tags. Vehicles in violation may be towed.

Pets must be on a hand-held leash at all times when outside of your unit. This is for the health and safety of all residents/guests.

Immediate and complete clean up after a pet is required. The unit owner of any resident or guest observed not cleaning up after their pet may be fined up to $50 per violation. Please do not allow pets to eliminate on plants as this can kill the plants which will increase landscape expenses.

A spray lock deicer should be used on frozen gate locks/latches.

Appliances should be picked up, not just placed outside by the dumpsters. Residents may call Sean Dooley at 440-669-7552 for removal. Also, mattresses, furniture and any other large items should be called in to QCM for a special pickup.

Please remember there is a STOP SIGN at Lucretia Ct.

Mentor Avenue Widening Project

Re: Garfield Park Turn Lane

Dear Resident or Property Owner:

The City of Mentor advertised and awarded the Garfield Park Turn Lane Project to Karvo Companies. The Project was originally scheduled to be completed during the Fall of 2016. However, complications regarding the relocation of utilities have delayed the start of roadway construction until Wednesday May 10, 2017. The Project will primarily consist of adding a left turn lane on Mentor Avenue at the Garfield Park/Lucretia Court intersection. An updated traffic signal will be included as part of the project. The scheduled completion date for the widening is June 30, 2017 with the traffic signal completed by August 14, 2017.

Two-way traffic will be maintained at all times. But, during the widening phase traffic will be restricted to 1 lane in the westbound direction. Delays can be expected.

The work will be performed between the hours of 8:00 AM and 6:00 PM Monday through Friday. During construction, Karvo Companies will maintain access to all drives.

We appreciate your patience and cooperation during this construction period. The City of Mentor and our contractors will do everything possible to minimize the inconvenience caused by this type of construction.

Air Conditioning Unit Painting

Dear Fairfax Manor Residents,

This is to notify all residents that Certa Pro Painting will be onsite Wednesday, April 19, 2017, weather permitting, to paint the exterior air conditioning units. They will begin at building K at the rear of the association and will work forward. Please remove any and all items on or around the a/c unit and leave your gate open.

Residents who do not have email may not be aware that this project (previously mentioned in the newsletter) is scheduled to begin on Wednesday, so if you are approached by a neighbor with questions please feel free to inform them or refer them to QCM office.
